Rental Bill Tracker is a program you install on your own Windows computer. It is designed so that your bills, receipts, properties and tenants stay on that computer. This page explains what information is involved, where it goes, and who can see it.

Information in the app stays on your computer

Everything you enter or add — your LLCs, properties, units, tenants, bills, receipts and the documents themselves — is stored on your computer: documents in a “Rental Bills” folder in your Documents, and the app’s records in your Windows user folder. The app has no online account, does not upload your information, and does not send us usage statistics, crash reports or any other data about what you do in it.

The app reads text from your documents on your computer, using the PDF’s own text or the text recognition built into Windows. That reading happens locally.

Sending bills from your phone

If you turn on “Send bills from your phone”, the app opens a private link on your home network so your phone can send it photos and PDFs. They travel directly from your phone to your computer over your Wi-Fi; they do not go over the internet and never reach us. The link works only while the feature is on, only for someone on the same network who has the link’s secret key, and you can make a new link at any time to shut out an old one.

Backups

The app makes backups to a folder you choose. If that folder is synced by a service such as OneDrive or Dropbox, your backups are handled by that service under its own privacy terms. We never receive them.

Optional: reading with Claude

If — and only if — you turn on “Smarter reading with Claude” in Settings and enter your own Anthropic API key, the text the app has read from each new document is sent to Anthropic’s Claude service to help fill in the form. The document file itself is not sent. That exchange is between you and Anthropic under your account and Anthropic’s terms; it does not pass through us. This feature is off by default.

Licensing

Activation works without the internet. When you buy a license, the software’s Buy a license button opens Stripe’s checkout page in your web browser, with your computer code attached so you don’t have to type it. Your card details go to Stripe, never to us, and are handled under Stripe’s privacy policy. Stripe tells us your name, email address, the amount paid and your computer code, so we can send your key. You can also ask for a key by email and send us your computer code yourself. The code is derived from an identifier Windows assigns to your computer’s installation and contains no personal information or files. To provide and support your license we keep your name, the contact details you gave us, your computer code and the key we issued. We use them only to support your license and contact you about it, and we don’t sell or share them.

This website

This site sets no cookies, uses no analytics or advertising, and loads nothing from other websites. It is hosted by Cloudflare, which, like any web host, processes visitors’ IP addresses and request details to deliver the pages and protect against abuse, under Cloudflare’s privacy policy.

Email

If you contact us, we use what you send to answer you. We keep correspondence about licenses with your license records.

Children

Rental Bill Tracker is for property owners and isn’t directed at children.

Changes

If this policy changes, the new version will be posted here with a new effective date.
